At RUTLIX, based in Pune, Maharashtra, we take your privacy seriously. This policy outlines how we handle the personal data of candidates, clients, and website visitors in accordance with applicable data protection laws.

2. Information We Collect

• Candidate Data: Name, email, phone number, location, employment history, and uploaded CVs.
• Client Data: Company name, contact person, business email, and hiring requirements.
• Usage Data: Essential cookies required for website security and optional analytics data (if consented).

3. How We Use Your Data

Candidate data is used exclusively to evaluate profiles for matching career opportunities and communicating with you regarding potential roles. Client data is used to fulfill recruitment services and respond to inquiries. We never sell your personal data to third parties.

4. Optional marketing email

Marketing email subscriptions are separate from candidate applications and client inquiries. We send marketing messages only to people who explicitly sign up and confirm their email address. Each marketing email includes an unsubscribe link; you may also use the one-click unsubscribe feature supported by your email provider. Unsubscribing does not affect messages needed to respond to your inquiry or application.

5. Ask RUTLIX chatbot

If optional AI assistance is enabled, messages that are not answered by an approved FAQ may be sent to RUTLIX's configured OpenAI, Azure OpenAI, Google Gemini, Anthropic Claude, GitHub Models, or another configured OpenAI-compatible service to generate a response. GitHub Models is separate from GitHub Copilot Chat. Detected email addresses and phone numbers are redacted from provider context and chatbot conversation records, but other details you type may still be processed by that provider. Avoid sharing sensitive personal information in chat. Inactive chatbot conversations are deleted after 90 days. Existing lead submissions and CV files follow their separate recruitment retention and access practices.

6. Data Security & Storage

All uploaded resumes and candidate profiles are stored securely in encrypted databases and private file directories isolated from public internet access. Access is restricted to authorized RUTLIX recruitment personnel only.
